Job Title: Practice Manager – Hospital Setting (Philadelphia, Pennsylvania )

Job Type: Full Time

Work Hours: Monday - Friday: 9 AM-5 PM

Compensation: $75,000.00 - $100,000 per year + benefits

The Practice Manager will be responsible for the day-to-day management of the practice’s operations, overseeing a diverse team of clinicians, support staff, and administrative professionals. You will be pivotal in ensuring that our practice runs smoothly and that both patients and healthcare providers receive the support they need to thrive.

Job Duties:

  • Operational Leadership: Oversee the day-to-day operations of the practice, ensuring efficiency, compliance with hospital policies, and exceptional patient care.
  • Staff Management: Lead and supervise administrative, clinical, and support staff, including recruitment, training, performance evaluations, and fostering a positive, collaborative team environment.
  • Financial Oversight: Manage budget preparation and financial performance, including revenue cycle management, billing, and collections. Monitor and track KPIs to ensure operational efficiency and profitability.
  • Patient Flow & Scheduling: Ensure smooth patient scheduling processes, minimizing wait times while maximizing provider efficiency. Oversee patient registration, insurance verification, and referral management.
  • Compliance & Quality Assurance: Ensure the practice adheres to all hospital regulations, including HIPAA, OSHA, and state healthcare laws. Maintain quality assurance protocols, ensuring compliance with clinical standards.
  • Process Improvement: Identify areas for process improvement and implement best practices to enhance operational efficiency, patient satisfaction, and staff performance.
  • Vendor & Resource Management: Manage relationships with vendors, ensure adequate inventory, and oversee procurement of medical and office supplies.
  • Collaboration: Work closely with clinical leadership, physicians, and hospital administration to ensure alignment on patient care standards and strategic objectives.
  • Patient Experience: Foster a patient-first culture by addressing patient concerns, resolving issues, and ensuring an exceptional experience for all patients.
  • Reporting & Analytics: Prepare and present performance reports, including financial, operational, and patient satisfaction metrics to senior leadership.

Qualifications:

  • Education: Bachelor's degree in healthcare administration, business administration, or a related field (Master’s degree preferred).
  • Experience: Minimum of 3–5 years of experience in healthcare practice management or a similar role, preferably within a hospital or outpatient setting.
  • Leadership Skills: Proven ability to lead and inspire a team, manage multiple tasks and projects, and drive performance results.
  • Financial Acumen: Strong understanding of healthcare financials, including budgeting, billing, and reimbursement processes. Experience with revenue cycle management is highly desirable.
  • Communication: Excellent communication and interpersonal skills, with the ability to interact effectively with patients, staff, and senior management.
  • Problem-Solving: Ability to assess challenges quickly, implement solutions, and handle operational issues in a calm and efficient manner.
  • Technology: Familiarity with healthcare management software, EMR systems (e.g., Epic, Cerner), and proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Knowledge of Healthcare Regulations: Strong understanding of HIPAA compliance, OSHA regulations, and healthcare accreditation standards.
